Backfile Conversion

Conversion is the process that converts paper documents to electronic or microfilm media for less storage space and greater ease of access.  This is typically archival only and is usually to satisfy the letter of the law with respect to maintaining records.

Retrieval is the ability to obtain hard copy of stored documents at any time.  This process, in a microfilm or com-fiche environment, is usually initiated with a request to the storage Service Company for the document.  The Storage Company then looks up the index in its file and retrieves the paper or microfilm. The document is then printed from the film and either faxed or mailed to the client.  This process can take several days to accomplish.

By maintaining the archival/retrieval service in an imaging environment, the client can access its documents in a matter of moments, under any number of billable circumstances. It is therefore prudent at times to take that amount of paper based data which is most relevant and place it in the new EDMS system. You most typically see this need in Finance (last 6-18 months) and Personnel where the documents are life long and living.

Image Information, Inc. maintains a number of scanners ranging from Fujitsu flatbeds, Bell & Howell ADF, to Kodak 3500 and 923's to facilitate these conversions for our clients. Image Information, Inc. has a total onsite scanning capacity of over 80,000 pages per day, single shift if required. We have developed a specific quality control and document preparation process which is flexible and configurable to any of our individual clients needs.
